Bespoke System Security
All Systems Encore bespoke software is written to the highest standards of system security. We have developed our own Menu and Security software which sits around all our applications and ensures that your data can only be accessed by authorised users.
§ Each user has a unique login and password to the bespoke application.
§ Each user may have their own individually tailored menu, allowing access to only those programs required by that user.
§ Reports and Documents created by one user may only be accessed by another user with appropriate permission.
§ Certain functionality within a program may be restricted to authorised users.
Transport Management

Document Management
The area of document management can be viewed on two levels. Firstly, from the top level where the document management system may be viewed as a general repository where documents are organised, stored, searched for and retrieved. Secondly, from the bottom or transaction level where documents are associated or linked with specific postings or data within the linked application.
For ease of retrieval, Document Management is tailored to the linked application by indexing the documents, images, pdfs etc using key fields. The linked application invokes the documents routine passing in key information so that the user sees the documents filtered by these criteria. The user may subsequently adjust the filter criteria as required.
The documents program may also be launched directly for use with stand-alone documents.
Documents, images and pdfs may be imported directly from a scanner that supports the TWAIN interface or be attached from an existing file.
Customer Management
Systems Encore has developed an in-house application which manages day to day communications between ourselves and our customers. The application is linked to the Sage Sales Ledger so that the list of customers and the status of their accounts in Sage is always up to date.

§ Call Logging
§ All calls to and from customers, whether by email, telephone, word of mouth, etc can be recorded and managed in a central repository.
§ The details, response, relevant contacts and status of each call may be recorded and updates to the call communicated via email.
§ Time Recording
§ Where customers have purchased blocks of time in advance, the work done against this time is recorded and managed in the application.
§ Statements of time used may be produced for each customer.
§ Repeat Invoice Management
§ Invoices for existing customers often need to be calculated and generated on a regular basis (e.g. annual maintenance). Such invoices are automatically generated from the information stored in the database and credit control information recorded against them until the invoice is paid.
§ Service Level Agreements and Schedules for each customer may be generated from the information stored in the application.
§ Reports
§ Reports showing the status of customer calls and accounts are generated into Crystal Reports or Microsoft Office applications.
Database Application

§ The Diocesan database includes information on each part of the hierarchy, including statistics, personnel, buildings and historical information.
§ The user interfaces reflect the hierarchical structure so that it is straight forward to update or retrieve individual pieces of information.
§ The Diocesan database is linked to the Document Management software developed by Systems Encore.
§ Where specific reports are necessary these have been developed using Crystal Reports or are extracted directly into pre-formatted MS Word documents, MS Excel spreadsheets or MS Outlook emails.
§ The underlying database is stored in Microsoft SQL Server, allowing data to be accessed directly by Microsoft’s Office products such as MS Word and MS Excel.
FTP Client Software
At Systems Encore we have developed software which works together with the Star Maintenance System to ensure synchronicity and accuracy between databases held on ships and databases held on the shore.
Originally set up to meet the requirements of our client Seatruck Ferries Ltd., we believe this software is suitable for all shipping companies who need to overcome the inherent difficulties in communication between ship and shore. Potentially this software could facilitate all organisations in this and other industries where communications are unreliable by optimising accuracy and allowing time and money to be allocated to other resources.

We required the software to automate the transfer of Star replication files between ship to shore and shore to ship.
